5.6 Virtual Phone Support Information

This is reference and support information for CSULB Virtual Phone users.

Downloading and Installing the MiCollab Software

Users should receive an automated "deployment" email from noreply@mitel.easydeploy.net which contains links to software downloads and a license key necessary to activate a virtual phone account. If users believe they have not received the deployment email, please check junk mail folder.  The first time one attempts to log in to the MiCollab client software, after entering the license key provided in the automated email, you are prompted to enter your password.  You will use your campus computing account password to log into your virtual phone; this is the same password you use to access CSULB Single Sign-On.

Note: You will need administrator access on your campus-owned devices to install the MiCollab client software, so if you are unable to install software or have other technical issues, please contact your department/college technical support.

General Information for Users with an Existing Desk Phone

If you are using your virtual phone with an existing companion desk phone, please note:  

  • You will be provisioned a new Virtual Phone extension in the range 56XXX.  This is noted in the subject line of the "deployment" email from noreply@mitel.easydeploy.net. 
  • We have configured your extensions with calling profiles which will automatically forward calls from your desk phone to your new Virtual Phone extension.  
  • Any existing follow-me or external call forwarding set on your desk phone has been cancelled. 

Activating/Deactivating Your Call Forwarding

If you’re on-campus and want calls to ring on your desk phone rather than your Virtual Phone, please use these commands: 

  • Deactivate forwarding profile: On your desk phone, press #10# 
  • To reactivate forwarding profile for when you are going to work remote: On your desk phone, press *10*1# 

Information for Users without an Existing Campus Desk Phone

If you are using your virtual phone as a standalone line without an existing companion desk phone, please note: 

  • You will be provisioned a new Virtual Phone extension in the range 56XXX. This is noted in the subject line of the "deployment" email from noreply@mitel.easydeploy.net
  • If your voice mailbox is new and needs to be configured please see References below for how to set up and use CSULB’s voice mail system. Your mailbox must be initially set up by calling the system at 51234 before Web Phone Manager can be utilized.
  • We recommend using Simple Unified Messaging in order to have your messages emailed to your email inbox. You can set up Simple UM through Web Phone Manager.

About Voice Mail 

  • We will configure voice mail to combine messages from your new Virtual Phone mailbox and your desk phone extension (if you have an existing one), so you’ll only need to manage one voice mailbox. 
    • Please note: the voice mail link from within the MiCollab app is not configured to log into your voice mailbox.  Instead, you can access your voice mail by dialing "51234" from within MiCollab.  Alternatively, you can use your browser to access Web Phone Manager (voicemail.csulb.edu) if you have enabled this.
  • We recommend using Simple Unified Messaging in order to have your messages emailed to your email inbox. You can set up Simple UM through Web Phone Manager.
  • If your voice mailbox is new and needs to be configured please see References below for how to set up and use CSULB’s voice mail system.

Important Notes About Using Your Virtual Phone 

  • Please do not use 911 services with your virtual phone. 
  • Your virtual is expected to be configured to ring for 20 seconds (approximately 6 rings) before it goes to voice mail.
  • To use the virtual phone, receive and answer calls, you must be logged in to the MiCollab application at all times on your computer/device. 
  • If the software is running on your computer/device, but you are logged out of your device, you can still hear calls ringing, but you will need to log in to your device to answer them.
