Connect to a Network Printer in Windows 10

NOTE 1: These instructions will only work for campus-issued Workstation connected to the campus network via Ethernet wired connection or Wi-Fi connection using beachnet+. This guide will not work on personally owned devices connected to the network via guest network access.

NOTE 2: These instructions assume the print-queue is published in ITS Print Servers ITS-PRINT01 and ITS-PRINT02. Some departments publish their network printers utilizing their own  department specific Print Server in which case, these instructions are not applicable.

Steps in connecting to a network printer

  • Ensure Workstation is connected to the network either through wired Ethernet connection of via Wireless Wi-Fi connection.
  • Ensure user is logged on to his/her Windows 10 Workstation using Beach ID and corresponding password.
  • User knows the name of the print queue he/she is trying to connect to. To see a list of print queue available,
    open File Explorer. In the address bar type '\\its-print01' or '\\its-print02' without quotes as shown below.

  • User should be presented with a list of available network printers that he/she can choose from. Make a note of the print-queue's name.
  • Verify with user's Technical Coordinator that print-queue selected from previous step has been added to his/her Active Directory (AD) profile membership.
  • When user gets a confirmation from Technical Coordinator that print-queue has been added to his/her AD profile membership, issue the command: gpupdate /force from command line console as shown below.

  • Open Desktop's Control Panel utility. In the Cortana search bar, type Control Panel. Control Panel icon appears as shown below.

    Click on Control Panel icon to open it.
  • The Control Panel window should appear as shown below.

  • Locate the applet named Hardware and Sound. Click the hyperlink labeled View devices and printers in its subsection.
  • The Devices and Printers window should appear as shown below.

  • Pay attention to the middle row labeled Printers. If the print-queue was assigned properly to the user then the print-queue should appear here, for example a print queue in red rectangle in figure above.
  • If print-queue does not appear in Workstation's Devices and Printers window then have user contact his/her respective Technical Coordinator to troubleshoot the absence of print-queue in user's Devices and Printers window.
