Note: If you delete a voicemail message in Outlook, it will also be deleted on your Teams call history and/or your companion phone.

Common Area Phone

Common Area Phones:

  • are assigned their own independent phone extension in order for them to work
  • voicemails are only available on the physical device
  • do not support voicemail via email

  • Forward Calls to a Contact or Number: For common area phones that are a member of a call queue, we recommend setting the phone to forward to the call queue's extension to ensure there are no missed calls to a common area phone that does not have someone available to pick up calls.
  • Forward Calls If Unanswered: For common area phones that are a member of a call queue, we recommend setting the phone to forward to the call queue's extension to ensure there are no missed calls to a common area phone that does not have someone available to pick up calls.
  • Forward All Incoming Calls to Delegates

Call Queue

Call Queues are set up with a corresponding Voicemail group, which can be accessed from your Outlook email.

In Outlook, you can add the Groups app on the sidebar:

If you are a member and/or owner of a group, your call queue voicemails will show up under Groups in the "folder" named as your call queue phone number:

Individuals must be added to the Call Queue’s associated voicemail group folder in Outlook as:

  1. Member - can view messages in Outlook group folder
  2. Owner - can view and delete messages in Outlook group folder (if also a group member). Owner can add/remove members and owners.

Important Notes About Call Queue Voicemail

  • Voicemails left for the Call Queue are NOT on associated Common Area Phone. They are only accessed in Outlook Groups by the members of the voicemail group.
  • If an owner of a call queue's voicemail group deletes a voicemail message in Outlook, it will be deleted for all call queue voicemail group members and owners. If any additional voicemail group owners need to be added (including staff and student assistants), please open a service request.  
  • Voicemail Group deletion:  Call queue voicemail groups may automatically be deleted by Microsoft if they are not accessed in Outlook at least every 35 days. Access activity are such things as ​​​​​​​Join or edit group, read or write group message from the group, and liking a message (Outlook on the web).  Owners of the voicemail group will receive an automated Microsoft notification email 30 days prior, indicating that the voicemail group will be deleted if no action is taken.  To keep your voicemail group, you will need to click the link/button in the automated email.
