Call Queue Voicemail Expiration & Renewal Guide

Voicemail groups for Microsoft Call Queues are implemented as Microsoft 365 Groups, so their lifecycle follows the Microsoft 365 Group expiration policy decribed below.

Why This Matters

If a voicemail group expires due to inactivity, all associated resources (voicemail inbox, mailbox, Teams channels, SharePoint site) are deleted. Owners must renew the group to keep it active.

Key Timeframes

Inactivity threshold = 365 days

If your voicemail group is inactive for this period of time, it will trigger the following automated notifications sent to owners of the group.)  Groups that are “in use" within 35 days of the end of the expiry interval will not be notified.

Groups that are not “in use” will receive notifications at:

  • 30 days
  • 15 days
  • one day

If not renewed, they are deleted.  They are recoverable for 30 days by an DoIT admin.

What Owners & Members See

Owners receive automated renewal emails from Microsoft with a "Renew Group" button.
Members may also receive notifications about inactivity.
If no action is taken, the voicemail group is soft-deleted after the expiration date and permanently deleted after 30 days.  The group is recoverable within the 30 days prior to permanent deletion.

How to Renew

Click the Renew Group link in the email.
Renewal resets the expiration cycle (e.g., another 365 days).
No renewal = group deletion after the grace period.

Best Practices

Monitor your voicemail group activity regularly.  Act promptly when you receive renewal emails.
